Job Summary
Tampa, Florida based engineering and environmental firm looking for an Office Manager and Bookkeeper, who will ensure the efficient day-to-day administration of the office while managing core accounting and financial tasks. This role requires a highly organized professional capable of balancing administrative support, human resources coordination, and accurate financial reporting.
Responsibilities

Bookkeeping & Accounting
- Accounts Payable/Receivable (AP/AR): Process vendor invoices, issue payments, track customer billings, and follow up on overdue accounts.
- Reconciliation: Perform monthly bank and credit card reconciliations.
- Payroll Support: Assist with or manage semi-monthly/weekly payroll processing, tracking hours, and commission administration.
- Financial Reporting: Prepare basic financial statements, cash flow reports, and ledger updates for management.
- Office Management & Administration
- Daily Operations: Oversee front-office operations, manage incoming correspondence, and direct phone inquiries.
- Inventory & Supplies: Monitor office and kitchen supply inventory; place reorders as needed.
- Vendor & Facility Coordination: Maintain relationships with building management and office equipment vendors (copiers, internet, etc.).
- Scheduling & Meetings: Coordinate team calendars, schedule internal meetings, and prepare meeting spaces or agendas.
- Human Resources & Onboarding
- Employee Onboarding: Assist with new hire paperwork, setup, orientation, and policy reviews.
- Record Maintenance: Keep personnel files and employment records organized and confidential.
Qualifications
- Experience: 2–5 years of combined experience in office administration and bookkeeping.
- Software Proficiency: Strong proficiency in QuickBooks (Desktop or Online) and Microsoft Office Suite (Excel, Word, Outlook).
- Organizational Skills: Exceptional time-management abilities with strict attention to detail and accuracy.
- Communication: Excellent verbal and written communication skills for interacting with clients, vendors, and staff.
- Education: High school diploma required; associate or bachelor’s degree in business administration, accounting, or a related field is preferred.
Compensation: $20.00 - $30.00 per hour
